Priority goes to all requests received in the quarter prior to the first scheduled event date. We encourage you to submit requests up to six months in advance, if you have the day/time/location information finalized. Accommodation of late requests will be based on availability.

Staff follow up

You will receive an auto-generated confirmation email that your form was submitted successfully. The email will include next steps based on your responses.

  • Requests are reviewed quarterly, with some late or off-cycle requests considered as space allows. Quarters are Q1: Jan-March; Q2: April-June; Q3: July-Sept; Q4: October-Dec.
  • Requests are taken up to 3 months prior to the start of the upcoming calendar quarter. First priority for rental requests is given to those who submit a request by 2 months prior to the start of the calendar quarter. Staff review initial requests and respond at least one month prior to the upcoming quarter. As example:
    • Requests for Q2, April-June.
    • Renters submit requests in January to be considered for first priority.
    • Staff review requests in February.
    • Renters are provided permits for approved rentals no later than March 1.
    • If space allows, requests received after the application period will be considered based on availability and staff discretion.

Rental Guidelines

  • Rentals are a minimum of two hours.
  • Full deposit is due once contract has been signed. Deposit may be used for any damage incurred during rental. Damages occurring as a result of the renter's players, coaches, and/or spectators will be billed directly to the renter. Remaining rental balance is due two weeks prior to first use or two weeks prior to the start of each month for reoccurring rentals.
  • Courts will not be rented to any organization whose use of the courts presents a conflict of interest.
  • The number of portable toilets, trash removal, and lights, etc. will be determined by the department staff based on the event.
  • Liability insurance of $2,000,000 naming the City of Boulder as additionally insured is required.
  • Dogs and glass bottles are not allowed at the athletic complexes.
  • Court playability will be determined by the renter. It is not advised tennis or pickleball courts are used if moisture, snow, or ice is present. There is a volunteer snow removal program should the renter be interested in clearing snow for their own event and court squeegees are available to aid in removing moisture. Department staff does not clear snow or ice from outdoor courts.
  • Weather cancellations may be permitted and renters will be given the option to reschedule or receive a refund due to inclement weather.

  • This request does not guarantee a reservation. All requests will be reviewed by recreation staff and permits will be provided once rentals are approved.
